Position Summary:

The Executive Administrative Assistant provides responsive, dependable administrative support to the CEO.  Maintains professionalism and confidentiality in working with the Board of Trustees and Foundation Staff and in handling Foundation documents.


Essential Functions:

  1. Schedules meetings for the CEO, the Board of Trustees and Board of Trustee Committees; drafts Board agendas; attends Board meetings and transcribes meeting minutes.

  2. Assists in corporate governance, including drafting minutes and correspondence.

  3. Maintains paper and electronic files of all Board-related minutes and materials.

  4. Takes and transcribes, composes and prepares confidential correspondence, reports and other documents; prepares agendas, notices, minutes and resolutions for Foundation meetings; keeps Board documents updated and distributes important information to Board and Staff as needed.

  5. Responds to routine external correspondence; types memos, purchase requisitions, payment requests and other department forms and documents; keeps records/receipts of CEO travel expenses for Finance Department.

  6. Arranges complex and detailed travel plans and itineraries; compiles documents for travel-related meetings; arranges for meeting space and catering for Board Meetings and special meetings.

  7. Creates and maintains databases, spreadsheets and document files for Administration Department.

  8. Coordinates, with the CEO and Senior Managers, preparation of the annual report.

  9. Coordinates, with Senior Managers, updates to the Departmental Policy and Procedure Manuals

  10. Maintain the CEO’s business calendar.

  11. Represents the Foundation with confidentiality and professionalism.

  12. Assists Department Managers with administrative tasks as needed.


Minimum qualifications:

  1. Associate’s degree (A.A.) or equivalent from two-year college or technical school and three years’ related experience.

  2. Excellent computer skills, including Microsoft Office Suite, e-mail and Internet proficiency.

  3. Ability to maintain confidentiality, work in a diverse environment and adapt to change.

  4. Excellent written and oral communication; demonstration of accuracy and thoroughness; and ability to monitor own work to ensure quality.

  5. Excellent time management and listening skills, dependability and attendance.

Compensation: Up to $38,000 a year plus benefits.
